New Workgroups Created for Summer Leave

Four new Workgroups have been created for those employees who are paid during summer recess. The Workgroups will automatically post LSUMR on the timesheet and will be processed directly to Payroll without the need to approve. The timesheet still needs to be submitted. If agencies would like to use the new Workgroups, simply enroll the employee at the beginning of the first full pay period the employee will be on summer recess. Upon the employee’s return, they will need to be enrolled back into their regular Workgroup. The effective date should be the first day of the pay period in which the employee will return. REG will be posted for the entire pay period which can be changed to LSUMR for the days prior to the employee’s return. Four Workgroups have been created, one each for 7 hour days, 7.25 hour days, 7.5 hour days and 8 hour days. These Workgroups are not set up as needs approval. The LSUMR attendance will be processed and sent directly to payroll. The only TRC that can be entered on the timesheet is LSUMR. If the employee will be working at all during the summer in the same record number, these Workgroups cannot be used.

In addition to the Workgroup change, the employee might also need a new schedule. The employee cannot be enrolled in a zero hour schedule in order to use the new Workgroups. On the Assign Work Schedule page, verify that the employee is not in a zero hour schedule. If the Assignment Method is Use Default Schedule, the employee will automatically be enrolled in a standard Monday-Friday schedule based on the number of hours of the Workgroup and no change is needed. If the Assignment Method is Use Predefined Schedule, and the schedule is Zero Hours, add a new row effective with the Workgroup change and select Use Default Schedule as the Assignment Method. When the employee returns to work and is enrolled in their regular Workgroup, the schedule setup needs to be returned to the former values. If the return date is known, both rows can be added at the same time in Maintain Time Reporter and Assign Work Schedule.

The Workgroup job aid has been updated to include these new Workgroups. They are named 301ESSMR7, 303ESSMR725, 302ESSMR75 and 300ESSMR8. The naming convention is as follows. The first three characters have been arbitrarily numbered starting with 300. The fourth character is for Exception. The fifth character is for Standard holiday schedule. The sixth, seventh and eighth characters are for Summer. The final characters reflect the day length. This naming convention has been added to the Naming Standards for Time and Labor job aid.
