New Time and Labor Job Aid for FMLA Codes

The Time and Labor Team has created a job aid to reflect the new FMLA Time Reporting Codes (TRCs) resulting from the SEBAC 2017 agreement. The job aid is titled FMLA Time Reporting Codes and can be found on the Core-CT web page under HRMS > Time and Labor > Time & Labor Job Aids. This document has two tabs. The first one lists all active FMLA codes and non-FMLA codes relating to employee absences for their own illness or family member illness. The second tab lists former FMLA codes that have been inactivated.

On the FMLA tab, the first two columns contain information that will assist users in narrowing down the TRC list. The Type column contains values Combo, Contractual, Federal, non-FMLA, Paid Leave, SEBAC Supplemental and State. The Category column further defines the type of leave with values of Bonding, Bone Marrow Donation, Caregiver, Family, Maternity, Military Caregiver, Military Exigency, Organ Donation, Parental, Personal, Sick Family and WC (Workers’ Comp). Once these two columns have been filtered, users will have the complete list of TRCs for the employee’s type of leave. Using the naming convention of TRCs (S = Sick, V = Vacation, etc.), select the TRC that fits the employee’s accrual selection. The Notes column indicates the new TRCs.

Important: The new FMLA codes are effective August 4, 2017. Users must update attendance (State, Federal, Combo, Supplemental) from that date forward to ensure that the time is accurately counted. If the timesheet is no longer available, the changes can be made in Adjust Paid Time with accrual adjustments (+/-) made in the current pay period. Agencies need to let employees know that they have the right to request changes to their accrual usage for bonding and caregivers. Employees must make the request to use sick leave versus unpaid or other accruals by December 15, 2017 and subsequent timesheet changes must be made by December 22, 2017.

The former FMLA codes have been inactivated effective November 24, 2017. The new codes MUST be used on and after this date.
